Ask My Accountant is meant to be temporary, but it often becomes a backlog. A useful cleanup pass does not dump everything on the CPA — it ranks the unclear items, adds the owner context that only the business has, and clears the easy questions before professional review.

Manual cleanup pass

  • Export or filter all Ask My Accountant, Suspense, and uncategorized account activity by date range.
  • Sort by amount first so the highest-impact unclear transactions get reviewed before small recurring items.
  • Group by vendor/payee to find repeated category gaps that can be fixed with better rules or documentation.
  • Compare each high-priority item against memo, reference number, attachment, bank description, and prior similar transactions.
  • Leave the accountant a concise note with the likely business purpose, source document status, and remaining question.

Review signals to prioritize

  • High-dollar transactions parked in Ask My Accountant for more than one close cycle.
  • Repeated vendor payments where only some entries are categorized correctly.
  • Income, loan, owner draw, or transfer activity mixed into expense cleanup buckets.
  • Round-number payments with no memo, reference, attachment, or obvious business purpose.
  • Catch-all balances that grow every month instead of clearing down before close.

Why this matters

A catch-all account is not automatically bad. The risk is letting unclear transactions pile up until tax prep, diligence, or owner review. Ranking the highest-impact questions early gives the owner, bookkeeper, and accountant a much cleaner handoff.
